For organisers

Make the room ready for hands-on work.

A workshop succeeds before the first prompt: people, purpose, accounts, safe materials, access, showcase format and ownership need explicit decisions.

Planning

  • Choose the audience and one useful outcome the cohort can own.
  • Set cohort size, individual or team showcase, location and delivery format.
  • Confirm the selected programme is commercially and operationally ready.

Tools and access

  • Approve the assistant and no more than two additional participant-operated tools for a short programme.
  • Test licences, logins, browser/network permissions and downloads on the actual participant setup.
  • Prepare safe inputs and a synthetic fallback; do not improvise with confidential work.

Room and inclusion

  • Confirm display, audio, power, internet, breakout space and accessibility accommodations.
  • Set recording and management-invitation expectations before the showcase.
  • Reserve ten minutes plus two minutes per presenting unit and do not silently convert individual presenters into teams.

Handover

  • Agree who receives approved artifacts, completion and evaluation records.
  • Name the owner of the first 30-day review; follow-up support is separate unless explicitly included.
  • Record limitations, dependencies and the next approved experiment.
